Qerbia Solutions s.r.o., with registered office at Nerudova 857/22, Pražské Předměstí, 500 02 Hradec Králové, Czech Republic, company identification number 174 38 969, registered in the Commercial Register maintained by the Regional Court in Hradec Králové, Section C, Insert 49903, provides the Apexloop services. In order to deliver our services to you, we process certain personal data.

We comply with the GDPR regulation (EU Regulation 2016/679).

1. When we process your data

A. When you contact us via a form

We process your name, email, phone and what you write to us, in order to respond to you.

  • Legal basis: Pre-contractual negotiations (Art. 6(1)(b) GDPR)
  • Retention: Up to 6 months from the last communication, unless we continue to work together

B. When you purchase from us

We use your billing details (name, address, contact, purchase information) to fulfil the order and meet our legal obligations.

  • Legal basis: Contract performance and legal obligations (Art. 6(1)(b) and (c) GDPR)
  • Retention: For the duration of the service and 10 years thereafter

C. When you subscribe to the newsletter

We use your email address to send you updates.

  • Legal basis: Your consent (Art. 6(1)(a) GDPR) or legitimate interest if you are a customer (§ 7(3) of Act No. 480/2004 Coll.)
  • Retention: 2 years from consent or last purchase (you can unsubscribe at any time)

D. When you give consent to cookies / advertising

With your consent, we may use your email/phone for analytics and advertising (e.g. via Google tools).

  • Legal basis: Consent (Art. 6(1)(a) GDPR)
  • Retention: Up to 1 year or until consent is withdrawn

2. Who has access to your data

Your data stays with us, but some of our suppliers may process it on our behalf — for example, providers of payment services, customer support, IT and marketing. We have data processing agreements with all of them. They include:

To create an account, we need your name, email and other data you provide.

  • Legal basis: Contract performance (Art. 6(1)(b) GDPR); other data is processed on the basis of consent
  • Retention: For the duration of account use. If you do not log in for more than 5 years (or 3 months on the Free plan), we will delete the account. After deletion, we keep a backup of data for 1 year.

4. Your rights

You have the right to know what data we process, to request correction, deletion, restriction of processing, a copy of your data or its portability. You may withdraw your consent or object to processing at any time.

If you believe we are handling your data incorrectly, you may file a complaint with the Office for Personal Data Protection or seek redress through the courts.
